TripFlow ("we", "our", or "us") operates the TripFlow mobile application (the "App"). This Privacy Policy explains how we collect, use, and protect your information when you use our App.

1. Information We Collect

We collect the following types of information:

• Account Information: Name, email address, phone number, and role (driver, foreman, admin) provided at registration.
• Location Data: GPS coordinates while you are on an active trip, used to track delivery progress. Location is only collected when the App is in use.
• Document Images: Photos of weight slips, delivery vouchers, fuel receipts, and other trip documents uploaded through the App.
• Trip Data: Trip routes, weights, expenses, and delivery records associated with your account.
• Device Information: Device type and operating system version for technical support purposes.

2. How We Use Your Information

• To operate and provide the transport management service
• To process and record trip, weight, and delivery data
• To generate reports for fleet owners and managers
• To track vehicle location during active trips
• To send operational notifications related to your trips
• To improve the App and troubleshoot technical issues

3. Data Sharing

We do not sell your personal information. We may share data with:

• Your employer / fleet operator: Trip data, documents, and location history are visible to the company administrator and foremen within your organisation.
• Cloud service providers: We use Cloudflare (file storage) and MongoDB Atlas (database) to securely store your data.
• AI processing: Document images are processed by Anthropic's Claude API solely for automated data extraction (OCR). Images are not stored or used for training by Anthropic.
• Legal requirements: We may disclose data if required by applicable UAE law or a lawful government request.

4. Data Retention

Trip records, documents, and account data are retained for as long as your organisation's account is active, or as required by UAE commercial regulations. You may request deletion of your personal account data by contacting us.

5. Location Data

Location access is used only during active trips to record route progress. We do not track your location in the background when no trip is active. Location data is associated with the trip record and visible to your organisation's administrators.

6. Camera & Storage

The App requests camera permission to photograph trip documents. Storage permission is used to select existing photos from your device. These permissions are used solely for document upload and are not used to access unrelated files or media.

7. Data Security

All data is transmitted over HTTPS. Documents are stored in encrypted cloud storage. Access is protected by role-based authentication — drivers can only see their own trips, and admin access is restricted to authorised personnel.

8. Children's Privacy

TripFlow is intended for use by professional drivers and fleet operators aged 18 and above. We do not knowingly collect data from anyone under 18.

9. Your Rights

You have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your account and associated data
• Object to processing of your data

10. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with a revised "Last updated" date. Continued use of the App after changes constitutes acceptance of the updated policy.
